User Management: Department Head

The users with this Department Head role will have a limited view of Kamsa, and the pages they will be able to navigate to are defined by the role permissions.

Let’s invite a user to Kamsa.
For this example, the user will have the role of a Department Head. The type of role defines the pages the user can see. The Level Descriptions page on Career Paths and the Help Center will display for all users.

The users with this Department Head role will have a limited view of Kamsa, and the pages they will be able to navigate to are defined by the role permissions. 

The pages that the Department Head role can view are Market Compensation: Company data, and Market Data, as well as Compensation Review and Employee Data. On Market Compensation, the Company tab (shown as our demo company, SharkCloud) displays specific market data cuts, percentiles, and compensation ranges applicable to your organization (in other words, data for those that you currently have employees in). The Market Data page within Market Compensation will list all of the market data cuts and percentiles for the compensation ranges they have access to. 

Users who have access to any page within Market Compensation will also have access to the Adjustments tab, this is where they can view the custom adjustments that HR Admins have made to the compensation ranges they have access to.

When inviting an employee at your company to be a Kamsa user, go to User Management, click on Add User, and choose the respective employee from the drop-down. 

The data displayed on the pages this role can view are determined by each user’s access. 

 1. Can see all employees

1:40   If this user can see all employees, then the Market Compensation: Company Data page will display all of the applicable market data for your company. For example, all job families and market data cuts that you currently have employees within will appear on your Company page, including the internal average. Since the user’s role type determines the pages they can see or edit, they will not be able to edit or make any adjustments to your Company’s compensation ranges. 

On Market Compensation: Market Data, Kamsa will list the compensation ranges for all market data cuts, percentiles, and levels for the user who can see data for all employees. 

On the Employee Data page, Kamsa will list all employees for this user. Since this role cannot edit this page, then they will not be able to make changes to employee data. 

When the Comp Review is kicked off, Kamsa will only list the employees that this user is assigned as the Comp Reviewer for on the Comp Review Flow. In other words, the Comp Review Flow determines the employees that are shown on the table, even if the user can see all employees. The Comp Reviewer will only be able to access the review when the HR Admin sends them a Comp Review invitation.

2. Can see all employees, except the People department and executives

2:57   If this user can see all employees, except the People department and executives, then Kamsa will limit the data it displays on all pages the Department Head role can see. 

Any data related to the executive job families and the entire People department will not appear on the pages this role has permission to. In this case, the Company Data and Market Data pages for this user will not display the compensation ranges or internal average for the People department and Executive job families. 

On the Employee Data page, any employee who is matched to the People department or executive job family will not appear on the page, and if this user can edit Employee Data, then the People or Executive Kamsa job Matches will also not appear in the Kamsa Job Match drop-downs. 

When the Comp Review is kicked off, Kamsa will only list the employees that this user is assigned as the Comp Reviewer for on the Comp Review Flow. In other words, the Comp Review Flow determines the employees that are shown on the Comp Review table.

3. Can only see employees in their org

4:05    If this user can only see employees in their org (which is most commonly used for this role), then Kamsa will only display the relevant data for that leader’s org. For example, if the employee you set up as a user is matched to the Kamsa job match of M5 Director, Product Management, then they will only be able to view the compensation ranges up to M4 Senior Manager for the job families their direct reports are matched to. 

On the Employee Data page, only the employees who roll up to this Department Head will appear. 

4. Editing the role permissions

4:39   User and role permissions can be changed at any time. For example, let’s say this user’s role is edited to include the Open Jobs page, and their access level is, “can only see employees in their org.” In that case, the user will be able to access the Open Jobs page and the compensation ranges that are shown must align with the job families that this leader’s direct reports are matched to. Since they can only view the Open Jobs page, they will not be able to add any new open jobs. 

Once you select the Employee, Access level, and Role (in this case Department Head) you can enter their email and click Submit. The new user will then receive an email to set up their password and log into Kamsa.
